How to Order

What are my ordering options?
Three ways: (1) Order online — standard SKUs at catalog price, ships same business day if placed by 3pm CST. (2) Phone order at 844-439-4335 — for procurement teams who need PO confirmation. (3) Submit a quote request — for custom builds, bulk pricing, or Net 30 setup. Engineer reviews quotes within 4 business hours.
Do I need an account to place an order?
For online catalog orders — no, guest checkout is available. For Net 30 terms, tax-exempt pricing, blanket POs, or repeat ordering with saved addresses, create an account at checkout (free, takes 30 seconds).
Can I order with a purchase order (PO)?
Yes. Email your PO to info@casterhq.com or upload at checkout. We accept standard PO formats from major procurement systems (Coupa, SAP Ariba, Oracle, etc.). First-time PO orders may require credit approval (3-5 business days) for Net 30 terms.
Is there a minimum order quantity?
No minimum on standard catalog SKUs — buy 1 caster or 10,000. Custom-built or modified casters have a 100-unit minimum with 3-4 week lead time. Branded packaging requires 500-unit minimum.
Can I see my order history and reorder?
Yes. Log into your account at /account to view all past orders, reorder with one click, download invoices, and track active shipments. Quote history is also accessible at /pages/quotes-history.

Account & Payment

What payment methods do you accept?
Credit cards (Visa, MC, Amex, Discover), ACH transfer, wire transfer, and Net 30 / Net 45 terms for approved business accounts. ACH and wire preferred for orders above $10K to avoid credit card processing fees on large orders.
How do I apply for Net 30 terms?
Submit a quote request with "Net 30 application" in the notes, or call 844-439-4335. Approval typically takes 3-5 business days and requires a completed credit application + trade references. Net 45 available for accounts above $250K annual run rate.
How do I get tax-exempt pricing?
Email a copy of your valid resale certificate or tax-exemption certificate to accounting@casterhq.com. Once on file, all future orders auto-apply tax-exempt pricing. Certificates must be current and match your billing entity.
When is my card charged?
Credit cards are authorized at order placement and captured at shipment. For multi-shipment orders, only the shipping portion is captured at each shipment. Net 30 orders are invoiced at shipment with payment due 30 days from invoice date.
Where can I get a copy of my invoice or W-9?
Invoices: log into your account, or email accounting@casterhq.com with the order number. W-9: emailed within 1 business day of request to the same address.

Shipping & Delivery

When does my order ship?
Same business day for in-stock SKUs ordered by 3pm CST. Out-of-stock items ship within 2-5 business days depending on SKU. Custom-built or modified casters have 3-4 week production lead time. You'll receive tracking via email at shipment.
What carriers do you ship with?
UPS Ground (default for most orders), UPS Air for expedited, FedEx Ground/Air on request, USPS for small parts. Heavy/freight shipments ship via LTL carriers (XPO, Old Dominion, FedEx Freight, others). Carrier choice depends on weight, destination, and urgency.
When do I need freight (LTL) instead of UPS?
Generally above 150 lb total weight or oversized cartons. Freight is auto-quoted at checkout for qualifying orders. Heavy industrial casters (8+ inch wheels, forged steel) typically ship LTL even in small quantities. Add lift-gate service ($75-100) if you don't have a loading dock.
How long does shipping take?
UPS Ground from our Texas warehouse: 1-2 days to TX/OK/AR/LA, 3-4 days to most US, 5-6 days to West Coast. UPS Next Day Air available for urgent. LTL freight: 3-7 business days depending on destination + carrier.
Do you ship to PO boxes or APO/FPO?
PO boxes: only for very small parts via USPS. Most caster orders require a physical address for UPS/FedEx delivery. APO/FPO supported via USPS for qualifying orders — contact us for confirmation.
Can you drop-ship to multiple addresses?
Yes — multi-site drop-ship at no premium for blanket POs and OEM accounts. Single PO, multiple ship-to addresses, consolidated invoice. Common for multi-plant manufacturers, regional distribution centers, JIT supply chains.
My shipment arrived damaged. What do I do?
Document the damage with photos BEFORE accepting the shipment from the carrier. Note the damage on the delivery receipt (BOL). Email info@casterhq.com within 5 business days with the photos and BOL. We'll file the freight claim and arrange replacement.

Returns & Warranty

What's your return policy?
Standard catalog SKUs: returnable within 30 days of delivery in original packaging, 25% restocking fee, customer pays return freight. Custom builds and modified casters: non-returnable (built to spec). Defective items: full replacement or credit, no restocking fee, we cover return freight.
How do I start a return (RMA)?
Email info@casterhq.com with order number, reason for return, and quantity. We'll issue an RMA number and return shipping instructions within 1 business day. Don't ship returns without an RMA — refused returns at our dock are returned at customer expense.
What's the warranty on your casters?
1-year manufacturer's warranty on standard catalog casters against manufacturing defects. 2-year warranty on OEM custom builds. Wear-related failure (worn bearings, deformed wheels from overload) is not covered. To file a warranty claim, submit photos + order number to info@casterhq.com.
My caster failed early. Will it be replaced?
If failure was a manufacturing defect (within warranty period): yes, full replacement or credit. If failure was due to overload, wrong application, or wear — not covered, but we offer a free failure diagnosis to identify the right replacement spec so it doesn't happen again.
How long do refunds take?
Once the return is received and inspected: credit cards refunded in 3-5 business days, ACH/wire in 5-7 business days, account credit available immediately. Net 30 customers receive a credit memo applied to next invoice.

Order Changes & Cancellations

Can I modify or cancel my order?
Yes, before it ships. Email info@casterhq.com or call 844-439-4335 with your order number ASAP. Once an order is in shipment status, we can't modify — you'll need to RMA after delivery. Custom builds in production are non-cancellable.
How do I expedite a shipment?
For UPS orders: select Next Day Air or 2nd Day Air at checkout. For LTL freight: call 844-439-4335 — expedited freight is available with 1-2 day transit at carrier-quoted rates. For production orders: rush production (2-week instead of 4-week lead) available with 25% expedite fee.
Can I add items to an existing order?
If the order hasn't shipped: yes, call us and we'll add to the original PO/invoice. If shipped: place a new order — we can match shipping carrier/method to consolidate delivery if same-day.
My order is wrong. What do I do?
If you received the wrong item due to our pick error: we ship the correct item next-day at no charge and provide a prepaid return label. Email info@casterhq.com with order number + photos. If the order was correct per spec but doesn't fit your application, return per standard return policy.

Bulk & OEM Orders

Do you offer volume discounts?
Yes — tiered pricing at 25, 100, 500, 1,000, and 5,000+ unit thresholds. Tier 1 (25-99 units) auto-applied at checkout. Tier 2+ requires engineer-reviewed quote. See /pages/bulk-pricing for the full schedule.
How do I set up a blanket PO?
Submit a quote request indicating "blanket PO" with your annual volume estimate. Engineer reviews and returns contract pricing locked across the program with quarterly cost-down review built in. Standard for OEM and 3PL accounts.
Can you build custom casters for my OEM application?
Yes — 100-unit minimum for custom builds (3-4 week lead). Custom plate dimensions, durometer, branded tread color, FDA formulations, stainless yokes, weld-on mounts. First-article inspection included on all custom builds. See /pages/oem-solutions for details.
Do you offer free samples for evaluation?
Free samples for evaluation on orders 500+ units. Samples ship within 5-7 days of approval. Custom-build samples include first-article inspection report. Return freight prepaid by us; keep them or use them in production.
Can I get CAD files before placing a bulk order?
Yes — STEP, IGES, DXF, and PDF spec sheets within 24 hours for active OEM accounts. New requesters: 48-hour turnaround. Request via /pages/cad-technical-drawings.

International Orders

Do you ship internationally?
Canada and Mexico via UPS Worldwide Standard or LTL freight (UPS Freight, XPO). Other international destinations on request — contact info@casterhq.com with destination, items, and quantity for a freight quote.
What about duties, taxes, and customs?
Buyer is responsible for all import duties, taxes, brokerage fees, and customs clearance unless otherwise quoted (DDP terms). For Canada/Mexico, we provide HTS codes, NAFTA/USMCA documentation, and commercial invoices. Larger international orders may require export licenses for certain materials — we coordinate.
Are your products ITAR/Export-Controlled?
Most standard catalog casters are EAR99 (no export license required). ITAR-controlled items (defense applications) require additional documentation. Specify ITAR requirement when submitting quote so we can confirm compliance and license status.

Technical Help

I'm not sure which caster I need. Can someone help?
Yes — application engineers on staff, free engineer review on every spec. Call 844-439-4335 or use our free engineering tools (load calculator, push force calculator, wheel material selector). Engineer-reviewed quote returned within 4 business hours.
How do I figure out the right load capacity?
N-1 method: divide total cart weight by 3 (not 4) and multiply by 1.25 dynamic safety factor. Example: 1,500 lb cart needs casters rated 625 lb each minimum. Use the caster load calculator for automatic calculation, or read the load rating guide.
My caster failed. Can you tell me why?
Yes — submit photos + spec to our free failure diagnosis tool. Engineer reviews common failure modes (kingpin shear, bearing seizure, wheel cracking, brake slip) and recommends a replacement that won't fail again. 4-hour SLA.
Where do I find spec sheets and CAD files?
Most major SKUs have downloadable PDF spec sheets on the product page. For STEP, IGES, DXF files, request via /pages/cad-technical-drawings — free for OEM accounts within 24 hours.
